Most brokerages in Dubai know they need a CRM. What stops them is the picture of a long project: weeks of workshops, a consultant drawing diagrams, agents waiting for something they can actually use.
It does not have to look like that. If you start from a configuration that already works for UAE agencies, the core CRM can be live in two business hours. This guide explains what that covers, what you prepare, what happens in each hour and what to add later.
What “two business hours” covers, and what it does not
The two hours are for the standard Real Estate CRM: the structure your team works in every day.

This split is deliberate. The left column is the same for almost every brokerage. The right column depends on your accounts, your portal packages and your data, so it needs its own plan.
Before the clock starts: what to prepare
The setup itself is fast. Waiting for information is what usually takes time. Have these ready:
- Company details: legal name, trade licence name, logo.
- User list: name, e-mail and role for each agent, team lead and manager, plus who belongs to which team.
- Bitrix24 access: an active account with admin rights, or we activate the plan for you.
- Your pipelines: which business lines you actually run (Off-plan, Secondary, Leasing, Listings) and any you want to skip.
- Lead sources: portals, ads, WhatsApp, walk-ins, referrals. Even if they are not connected yet, the source field should exist from day one.
A good rule: if you can answer these five points in one short call, you are ready.
Hour one: the structure
The first hour builds the frame the team will live in.
- Pipelines are created per business line, because an off-plan deal and a rental move through very different steps.
- Stages get required fields. A deal cannot move to “Viewing” without a viewing date, and cannot close without the agreed price. This is what keeps the data usable.
- Real Estate fields are added once, in the right places: budget, preferred areas, financing, lead class and the document fields for RERA forms, Ejari and Oqood.
- Users and roles are set up so agents see their own deals, team leads see their team and managers see everything.
Hour two: automation and handover
The second hour turns the structure into a process.
- New lead alerts: the assigned agent is notified immediately.
- First-contact task: every new lead creates a call task with a short deadline. If nobody responds, the team lead is alerted.
- Follow-up structure: after a viewing, the CRM asks for a recap and a next step, so leads do not go quiet without anyone noticing.
- Basic reports: leads by source, deals by stage and activity by agent.
- Handover: around 30 minutes with managers. Agents can start the same day.
Day one for your agents
For agents, three things change, and it helps to say them out loud:
- New leads appear in the CRM, not in personal WhatsApp or notebooks.
- Every lead has an owner and a next step with a date.
- Calls, chats and viewings are logged on the deal, so anyone can pick up a client if an agent is away.
Many agents in Dubai have already used Bitrix24 at a previous agency, so the interface itself is rarely the obstacle. The rules are what matter, which is why the setup keeps them simple.
After go-live: what to add next, and in what order
Once the team works in the CRM for a few days, add the rest in this order:
- Portal integrations (Property Finder, Bayut, Dubizzle). Assignment rules already exist, so leads land with the right agent.
- WhatsApp, so client chats belong to the company, not to personal phones.
- Telephony with call recording and missed-call tasks.
- Import of old contacts and open deals, cleaned and deduplicated.
- Dashboards and marketing automation, once there is enough clean data to measure.
Each of these is quoted separately, because the effort depends on your accounts and data.
Five mistakes that slow a CRM launch down
- Importing everything on day one. Old spreadsheets bring duplicates and wrong owners. Start clean.
- Too many stages. Eight to ten stages per pipeline is plenty. More stages mean more skipped stages.
- Leads without an owner. Every lead needs one responsible person from the first minute.
- No required next step. If the CRM does not ask “what happens next and when”, the answer is often “nothing”.
- Connecting portals before rules exist. Leads flood in and nobody knows whose they are.
The short version
A real estate CRM does not need a long project to start. Prepare five things, give the setup two business hours and let the team start the same day. Then add portals, WhatsApp and telephony step by step, once the basics are working.
